About the Role
This position is responsible for managing the end-to-end lifecycle of the vendor management process, including contract management, while ensuring compliance with AIA’s internal policies, Malaysian regulatory requirements, and industry best practices.
The role supports strategic vendor engagements, working closely with the Procurement team on contract negotiations, risk mitigation, and driving operational excellence across AIA Information Technology.
It also plays a critical role in enabling AIA’s technology resource outsourcing strategy, leading enhancements in vendor management processes and driving cost optimization initiatives.
Roles and Responsibilities: This role is crucial in upholding the integrity and quality of vendor-delivered products and services, ensuring adherence to AIA’s governance framework, and driving continuous improvement in vendor management practices across the organization.
1.
Contract Management
Manage the full lifecycle of contracts including drafting, negotiation (in close collaboration with the Procurement team), execution, renewal, and termination.
Work closely with the Legal team to ensure all contracts comply with AIA’s internal governance standards and relevant Malaysian legal and regulatory requirements.
Maintain a centralized and well-organized contract repository, ensuring timely updates in relevant systems.
Support budgeting and vendor cost tracking, ensuring financial transparency and alignment with Tech objectives.
2.
Vendor Management
Collaborate with Procurement and Technology teams to onboard, assess, and manage vendors.
Monitor vendor performance against SLAs and KPIs, and drive continuous improvement.
Ensure vendors meet AIA’s Third-Party Management (TPM) framework and risk requirements.
Lead initiatives to streamline vendor governance and automate reporting processes.
Uphold the integrity and quality of vendor-delivered products and services, ensuring adherence to AIA’s governance framework and driving continuous improvement across the organization.
3.
Technology Resource Outsourcing
Support strategic sourcing and management of outsourced technology resources and enhancement vendors.
Ensure alignment of outsourcing contracts with business needs and regulatory requirements.
Drive cost optimization through vendor consolidation, renegotiation, and performance reviews.
4.
Governance & Compliance
Coordinate with Legal, Risk, and Compliance teams to mitigate contractual risks.
Support audit and regulatory reporting requirements.
5.
Leadership and Collaboration
Demonstrate strong leadership in driving vendor governance initiatives and aligning contract strategies with technology goals.
Build effective working relationships across Procurement, Technology, Legal, and Risk teams to ensure seamless execution of vendor and contract management processes.
Influence stakeholders through clear communication, strategic thinking, and data-driven insights.
Foster a culture of accountability, continuous improvement, and compliance within the vendor management function.
6.
Reporting and Communication
Develop and maintain dashboards and reporting tools to track vendor performance, contract status, and compliance metrics.
Communicate insights and updates to stakeholders through structured reports and presentations.
Ensure timely and accurate reporting to support decision-making and audit reviews.
Collaborate with cross-functional teams to ensure transparency and alignment in vendor-related communication

Other Duties
Perform other responsibilities and duties periodically assigned by supervisor in order to meet operational and/or other requirements.
Minimum Job Requirements:
Bachelor’s degree in Computer Science, Information Technology, Business Management, or a related field.
Master’s degree is a plus.
5–8 years of experience in vendor and contract management, preferably in insurance or financial services.
Familiarity with Malaysian contract regulations and commercial law is an advantage.
Hands-on experience with tools such as JIRA and Confluence.
Proven experience in managing outsourcing agreements.
Exposure to Bank Negara Malaysia (BNM) regulatory frameworks.
Insurance domain knowledge is a plus.
Strong organizational skills, strategic thinking, and attention to detail, with a focus on process and best practice implementation.
Knowledge of relevant regulatory and industry standards is an advantage.
Excellent negotiation, stakeholder management, and communication skills.
Analytical mindset with a drive for process improvement.
Proactive and hands-on approach to work.
Consistently delivers high-quality output.
Certifications such as Certified in Contract Management Professional (CCMP), Certified Contract Manager (IMTC Malaysia), or Vendor Management Training are an added advantage.
